Managing tasks

You can use B-Folders to manage Task lists for different projects, develop checklists for following procedures, or just keep track of travel packing and shopping lists. You can have lots of Task lists for different purposes, projects and categories organized in tree structures.

Actionable (“to-do”) type items should be created as Tasks. And while Tasks can be created and kept in both Folders and Task lists, the latter will provide more customized options.

Task lists can be sorted or unsorted. Unsorted Task lists are best suited for cases where the exact order of execution is important. Sorted Task lists provide special sorting of tasks that need immediate attention – overdue and active tasks are at the top and less important tasks (like those already completed) are at the bottom.

Completing tasks

To mark a task as “completed,” click on the Task icon. If you no longer need completed tasks displayed, use the Delete completed tasks command  to delete all completed, non-repeating tasks in the current Task list. If you need to repeat tasks in a list (for example, to follow a checklist again), use the Reset completed tasks command which will affect all completed tasks in the current Task list.

NOTE: The default action of Tasks is Toggle Completed status.

Active tasks

When you have a lot of tasks, the separation of tasks that need your attention now and the rest is vital. Active tasks are tasks which Start date has come, due today or overdue.

Tasks are made “active” using the Schedule command, which sets the start date as “today.” You can clear the Start date field by using the Unschedule command.

Active task titles are displayed in bold.

Contexts

A Context is a special grouping of tasks that are done in a particular place or setting. Examples of Context for tasks done at locations could include Downtown, Office, Home, Bank, Client meeting site, Online, etc. Contexts are a central concept in productivity systems like Getting Things Done (GTD).

To create a task Context when editing a Task, use the (+) button to the right of the Context field.

To reorder, edit or delete Task contexts, use the Task contexts view.

Agenda view

Agenda view provides an overview of all active tasks throughout the whole database, from any Task list and Folder. Today contains all tasks that are either due today or overdue. Context lists (denoted by the @ icon) contain all active tasks categorized  by Context.

Desktop edition

To open the Agenda view, press the Agenda button on the main toolbar or select View > Agenda from the main menu.

To open the Task contexts view, select Tools > Manage task contexts from the main menu.

Android edition

To open the Agenda view, click the Agenda button on the Home screen of B-Folders. 

To open the Task contexts view select, General > Manage task contexts on the Settings screen.
